 Job Description
Administrative Assistant - $13.00 per hour


Work Location: Orange County Facilities Management Office located at 3723-B Vision Blvd, Orlando, FL 32839, which is next to the Orange County Corrections complex. We are currently seeking to add an Administrative / Clerical type temporary employee to help at the customer service desk of the maintenance organization.

The candidate must have a cheerful demeanor and be comfortable working around maintenance personnel and trustees.

We currently use Maximo and Data-Splice (CMMS) Computerized Maintenance Management System applications. The candidate will be trained by our staff to use these applications and will be responsible for performing at a high degree of accuracy and proficiency within a few days.

Normal working hours are 7AM- 4PM (1hr lunch) Monday through Fridays, county holidays excluded.

Minimum Qualifications:

• Type at a minimum rate of 40 correct words per minute.
• Proficient in Microsoft Word, Excel, and Outlook computer applications
• Graduation from high school or equivalent and three years of clerical or secretarial experience; or an equivalent combination of relevant education and experience.

Representative Duties:

• Answer and log all calls for maintenance service.
• Solve routine problems and answers questions.
• Greet and direct all visitors to the office.
• Create all work orders using Maximo.
• Record all overtime earned and all vacation time taken.
• Print and reconcile all labor reports using Maximo
• Data entry of all reconciled labor reports into Datasplice Computer Systems.
• Enter all purchases into Datasplice computer systems.
• Assist fiscal in payment processing.
• Create and maintain new contracts and vendor files.
• Coordinate and set up interview schedules and files for interviewees
• Coordinate and set up new employee files, forms, tests and medical appointments and forward to appropriate personnel.
• Maintain employee information including, address changes, injuries, benefits, etc.
• Prepare end of year files for schedule pickup and storage at records management.
• Perform basic clerical duties such as filing, faxing, photocopying and dispatching.
• Receive, sort and distribute mail.
• Perform other related duties as assigned.



You must have a clean record (Level II Background Screening) and be able to pass a 10 panel drug test.
